Our Data Policy - what data do we collect and what do we do with it?
At Vegan Business Tribe, we take both your data and your privacy very seriously. If you give us consent to hold your data and communicate with you, this page explains what we will do with it.
What information is being collected?
Our download forms will collect your email address and (if you provide it) your name. Other forms may ask for more information including your company name and website address. As well as the data you provide, we will also collect the time and date you submitted the message and also the country and IP address the message was submitted from. This data will be stored by our website using the Elementor Database plug-in, as well as emailed to our main VBT inbox.
If you sign-up to Vegan Business Tribe your data is also stored by the Memberpress plug-in and your bank card details will be collected by Stripe. If you buy a product or make a purchase from Vegan Business Tribe, note that Vegan Business Tribe has no access to your card details; they are collected directly by Stripe which then handles all billing with your bank direct. Only the status of your payment (successful / unsuccessful) will be conveyed back to the website and Vegan Business Tribe.
If you post a comment on the website, that comment is also stored using the inbuilt WordPress comment functionality. WordPress will also try to retrieve a profile picture of you if you have registered a profile picture using the Gravatar avatar platform or WordPress.com. If you wish to change the profile picture shown, please log-in to your Gravitar or WordPress.com account.
If you have an account on Vegan Business Tribe, the website also logs when you last logged in to your account.
Who is collecting the data?
Your data is being collected by Vegan Business Tribe, which is a trading division of Vegan Sales Accelerator Ltd. See website footer for more information. Your data is not shared with any other organisations apart from when it is required to store your data within third-party software (such as a CRM system).
Why is my data being collected?
If you sign-up for an account with Vegan Business Tribe, we will collect your data to give you a log-in and access to the website and so we can also include you on our email list to inform you of weekly content and announcements.
We collect your details if you submit an enquiry so that we can respond and contact you about your message. On some occasions we collect your name and email address when you download information from our website to a) give us an overview of who is coming to our website and interacting with our material and b) so that we can, with permission, contact you relating to the information you downloaded – if appropriate.
How will my data be used?
If you sign-up for an account on Vegan Business Tribe we also create an account for you in our CRM (Customer Relationship Management) System on Zoho. Within this CRM we may also keep a record of times and dates of when we have spoken with you, a record of email interactions, what VBT campaigns or events you have been active in and any other data that helps us maintain a personal relationship with our members.
We also occasionally collate data using Microsoft Office tools such as Excel and Word, for example when we collate a list of people attending an event. We also, with permission, circulate the contact details of event attendees after an event. These are circulated using WeTransfer to all other attendees of just that event; this information is stored on WeTransfer’s server for 6 days after which it is deleted as per their terms and conditions.
When booking on to a Vegan Business Tribe event an attendee’s details are stored securely by our booking and events system Calendly, and is stored as per their terms and conditions. Reminder emails are sent directly from Calendly along with any follow-up emails. An attendee has the option of adding a telephone number to receive a text reminder, and this information is also stored by Calendly. Vegan Business Tribe has access to this information but does not record, use or transfer any information processed through Calendly to any other system.
If you sign-up for an account or for our mailing list, then we also automatically add your email address, name and company name to MailChimp using their API. Some download forms may also add your email address to our MailChimp account so that we can keep you up to date with our latest announcements and content. Each email that you receive using MailChimp will come with a clear link to unsubscribe, usually at the bottom. Note that unsubscribing from our MailChimp list does not remove you from our CRM system or delete your details on our website if you have signed up for an account. To do this, see ‘How do I unsubscribe or request to be forgotten?’ below.
We will always use the email address you use to sign-up to the website. If at any time you wish to change the email address we contact you on, this can be done in the account section of the website when you are signed in. Or alternatively, email us on hello@veganbusinesstribe.com
Who will my data be shared with?
We will not share or sell your data to any third parties for marketing use. Employees or contractors of our company may see the details you give to us in their day-to-day work. For example, a web developer working on the website will also have access to the database of members on the site and also the record of any comments or messages sent through the site.
We store the majority of our off-site data ‘in the cloud’ for example on Zoho and other CRM systems. Our own website is hosted on UK data centres.
Third-party software may also store your data if you have given us permission to stay in touch with you, such as MailChimp.
Does your website use cookies?
Yes, Vegan Business Tribe is a membership website so requires cookies to be able to maintain your membership session. Cookies are also used if you choose to ‘remain logged in’. This website also uses a Facebook Pixel to give us the ability to ‘remarket’ to visitors and Google Analytics to allow us to better understand how people use the website. All this data is anonymous to us, meaning we cannot link interaction to identifiable, individual people.
How do I unsubscribe or request to be forgotten?
If you receive an email from us using MailChimp email marketing software, you will be able to click the unsubscribe link in the footer to remove yourself from future mailings. If you wish us to also remove what data we hold about you as a company, we are happy to do this as long as it complies with the records we are required to hold within UK law. To request to be forgotten, please email hello@veganbusinesstribe.com – please note that if you are still a member of Vegan Business Tribe then we need to retain your data for you to be a member
